What is GaragePro DMS?

GaragePro DMS is a dealer management system for the automotive aftermarket. The advisor quotes on it, the technician clocks on to it, the storeman issues parts against it and the invoice is built from it, so the bill and the work cannot disagree.

Every module reads the same customer, vehicle and ledger.

Aftersales and service

The repair order from booking to collection: estimate, approval, job card, quality check and invoice.

Workshop and capacity

Bay board, technician tablet, clocking per job and booking against real capacity.

Parts and accessories

Stock issued against the job, superseded part numbers, bin locations, cycle counts and cores.

Body shop and insurance

Insurance claims with surveyor, LPO, supplements, the excess split and a salvage ledger.

Sublet and quality control

Work sent to specialists, costed when agreed; road tests, scans and resets on the record.

Warranty claims

Distributor, supplier and in-house warranty, with short payments tracked line by line.

Tyres and tyre hotel

The DOT date on every fitted tyre, TPMS sensors, and stored sets on a named rack.

Fleet accounts and courtesy cars

Fleet customers with monthly invoicing and their own portal, and courtesy-car loans.

CRM and retention

Service reminders, follow-ups, complaints, NPS surveys, campaigns and recalls.

Customer portal and WhatsApp

Quote approval, live status, booking and invoices by link, with nothing to install.

VAT and e-invoicing

Tax invoices, VAT returns, e-invoicing and audit controls for Middle East tax rules.

Accounting and KPIs

ERPNext accounting by branch, 27 reports and a 15-metric workshop scorecard.

Vehicle sales

Quotations, sales orders, delivery and invoicing for vehicles, on ERPNext selling.

Vehicle inventory

Every car tracked by VIN as a serial number, across warehouses and branches, in ERPNext stock.

HR and technician pay

Employees, attendance, leave and payroll on ERPNext HRMS.

A check-in that settles arguments later

At the gate, the advisor finds the car by plate in one search. On the tablet they record the odometer, fuel, the complaint and what was left in the car, mark damage on a diagram, take photos and get the customer's signature.

  • Works offline and syncs when the connection returns
  • Belongings, damage and photos stay on the job
  • The promised time is set here and tracked to the end

Every bay and every promise, on one screen

The bay board shows each car, its technician, how long it has been on the lift and the time promised to the customer. A late car turns red before the customer calls, and the customer sees the same progress on their phone.

  • Line-by-line approval on WhatsApp, with a signature
  • Live status by link, in Arabic and English
  • Declined work becomes a follow-up, not a lost sale

A health check the customer can read

Technicians inspect against a checklist and grade each point good, needs attention or urgent, with notes and photos. The report goes to the customer in both languages, and anything they put off becomes a reminder.

Accident repair, run as the claim it is

An insurance claim is its own document: estimate, surveyor, LPO, strip-down, supplement, settlement and short payment. The job card only needs to know who pays, the claim number, the limit and the excess.

  • Time waiting for the insurer's LPO is measured, per claim and per insurer
  • Agency or non-agency repair recorded on the claim
  • Genuine, OEM-equivalent or used, recorded for every part
  • A salvage ledger for replaced parts that belong to the insurer

Everything else a workshop needs

Warranty claims

Distributor, supplier and in-house warranty on one document. Complaint, cause and correction are checked before the claim is sent.

Tyres and tyre hotel

Every fitted tyre carries its DOT date. Stored sets sit on a named rack, charged by the month, with a reminder before they are due out.

Parts room

Parts leave the shelf against a job. Superseded numbers, bin locations, cycle counts and cores owed back are all tracked.

Sublet and quality control

A car at the paint shop is still your job: the vendor's cost lands when agreed, and the bay is freed while it is away.

Reminders that book the car

Every car knows what service is due next, by date and by kilometres, and the reminder links straight to a booking.

Controls that protect the till

A credit limit that holds the car, discounts above a ceiling that need a manager, and parts that never sell at cost by accident.

VAT and e-invoicing

Bilingual tax invoices with both tax numbers and a QR code, VAT return reports, and e-invoices with every send logged, set up for your country's rules.

Numbers the owner reads

27 reports and 15 KPIs, each with its formula written out: effective labour rate, technician efficiency, comeback rate and more.

Waiting-room screen

Masked plates and friendly status in both languages on a TV in reception, with no names or amounts on show.

GaragePro DMS questions

What is GaragePro DMS?

GaragePro DMS is a dealer management system (DMS) for car dealers, service centres, body shops and workshop groups. It runs aftersales and service, the workshop floor, parts, insurance and warranty claims, tyres, customer communication on WhatsApp and VAT invoicing on one customer and vehicle record. It is built on ERPNext and implemented by Insiders Business Technology.

Which DMS modules are available today?

Fifteen: aftersales and service, workshop and capacity, parts and accessories, body shop and insurance, sublet and quality control, warranty claims, tyres and tyre hotel, fleet accounts and courtesy cars, CRM and retention, customer portal and WhatsApp, VAT and e-invoicing, accounting and KPIs, vehicle sales, vehicle inventory, and HR and technician pay.

Does GaragePro DMS handle vehicle sales and vehicle inventory?

Yes, through ERPNext underneath it. Vehicles are sold with ERPNext quotations, sales orders, delivery notes and invoices, and each car is held in stock as a serial number keyed on its VIN, across warehouses and branches. Staff, attendance and payroll run on ERPNext HRMS.

Does GaragePro DMS support insurance and accident repair?

Yes. An insurance claim is its own document with the surveyor, the LPO, supplements, settlement and the excess split. The time a car waits for the insurer's LPO is measured, and replaced parts that belong to the insurer are kept in a salvage ledger.

Is GaragePro DMS ready for VAT and e-invoicing in the Middle East?

Yes. It produces bilingual tax invoices with the seller's and buyer's tax numbers and a QR code, VAT return reports, and e-invoices with every transmission logged. A posted tax invoice cannot be deleted, so the numbering has no gaps. E-invoicing for the UAE (PINT-AE, through an accredited provider) is built in, and each country's invoice rules are set up during implementation.

Does it work in Arabic and on tablets?

Yes. Every screen and printed document works in Arabic and English. The reception, check-in, technician and driver screens are built for tablets and phones, install as an app, and keep working when the Wi-Fi drops.

Is GaragePro DMS built on ERPNext?

Yes. It runs on ERPNext, so accounting, stock and purchasing are a full ERP underneath, and any ERPNext consultant can support it.

How do customers approve work?

They receive a link on WhatsApp, see the quote line by line, accept or decline each line and sign on their phone. Only approved and completed work can reach the invoice.
